With some applicants giving fraudulent paystubs and residents listing their homes on Airbnb, depending on your team to protect your property is more important than ever. But, what if your employees are actually the ones taking advantage of you? While it’s essential that you trust your employees to do their job, it’s just as vital to enact some measures that’ll prevent employee embezzlement from ever occurring.

Unfortunately there is no shortage of embezzlement stories within the multifamily housing industry. Will Kelty, board member of Metro Life Properties in San Antonio, Texas, recalled two particular properties that incurred huge losses at the hands of their employees. In the first property (a 44 unit building), it’s estimated that the property manager on site stole $14,000. By going into the property management software, they would set their resident’s outstanding rental balance to 0, collect the resident’s rent for themselves, reset the balance to the original rental amount and then run a delinquency report. Later on, it was discovered that within the second property, a different property manager was doing the same thing, resulting in a total loss of about $6,000. In order to protect yourself and your property from suffering such huge losses, consider taking these precautionary steps:

  1. Develop an Audit System

If you notice a high delinquency rate or an income variant, you’ll want to check if the numbers coincide with when you hired the onsite manager or a particular staff member. Although the loss is not as significant, having someone audit maintenance orders can prevent your staff from overspending (even if it’s by accident) or spending on unrelated, unnecessary parts or items.

  1. Review your Property Management Software

Find out if your current software allows this and consider who has access to this part of the software. To prevent employees from taking advantage of this feature, consider switching to a protected software like iRent, which requires rental amounts to be approved by you or a staff member with a high security clearance every time they’re changed.

While this might seem like a minor infraction, you could be losing thousands of dollars per month simply because the property manager is trying to do a nice thing for your residents.
